When you send us an enquiry

If you use the enquiry form on our website, we collect your name, email address, phone number (optional), the reason for your enquiry and your message. Please don't include detailed medical information in the form; we'll discuss anything clinical with you directly.

When you book an appointment online

Online bookings are made through a booking form provided by Blink OMS, our practice management software provider. The details you enter, such as your name, contact details, date of birth and appointment type, are processed by Blink OMS on our behalf.

When you call, email or message us

If you contact us by phone, email or WhatsApp, we keep the details you share with us so we can respond and keep a record of our conversation.

When you browse our website

We use Vercel Web Analytics to understand how our website is used, such as which pages are visited and which country visitors come from. This information is aggregated and anonymous, does not use cookies and is not used to identify you. See our Cookie Policy for more on cookies.

How We Use Your Information

We only use your personal information where the law allows us to. We use it to:

• respond to your enquiries and questions, because it is in our legitimate interests to do so, or because you have asked us to take steps before booking an appointment;
• arrange, confirm and manage your appointments, as part of providing our services to you;
• provide eye care, where the information relates to your health, on the basis that it is needed for the provision of health care by our registered professionals;
• send you appointment reminders and let you know when your next eye examination is due;
• send you news and offers, only where you have given us permission, with an easy way to opt out at any time;
• meet our legal and regulatory obligations.

Who We Share It With

We never sell your personal information. We only share it with trusted organisations that help us run our practice and website, and only as much as they need:

• Blink OMS, our practice management and online booking provider;
• Vercel, which hosts our website, and our website email provider, which delivers enquiry form messages to us;
• WhatsApp (Meta), if you choose to contact us that way;
• NHS and private ophthalmology providers, when we refer you for further care, which we will always discuss with you first;
• our professional advisers, regulators or law enforcement, where we are required to by law.

Some of these providers may store or process information outside the UK. Where they do, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy decision.

How Long We Keep It

We only keep your personal information for as long as we need it for the purposes described in this policy. Enquiries and general correspondence are deleted once they are no longer needed, unless you become a patient. Patient and clinical records are kept for the periods recommended by professional guidance for optical practices.

We use appropriate technical and organisational measures to protect your personal information, including secure, encrypted connections to our website and restricted access to patient information.
